If you are evaluating Scale Suite, you are really evaluating six ways to run a finance function, and we would rather you compare them properly than pick us by default. This page lays out each alternative with the numbers, when it actually fits, and the trade-off nobody mentions in the sales process, including ours. No competitor names; every option below is a category you can shortlist providers within, and the same decision logic applies whoever you talk to.
Last reviewed: August 2026
The option: A bookkeeper ($95,000 to $110,000 loaded), a finance manager ($100,000 to $140,000 salary plus on-costs), or both, per our 2026 finance salary guide, plus $20,000 to $30,000 in recruitment fees per hire.
When it fits: Daily physical presence matters, transaction volume fills a full-time week, or finance decisions need someone in the room constantly. At sufficient scale, in-house wins and should.
The honest read: Most growing businesses hire this capability years before the volume justifies it, then discover one person cannot cover processing, payroll, compliance and reporting to a professional standard anyway. Single-person functions also concentrate risk: one resignation and the function stops. Run the crossover point in the hire vs outsource calculator before assuming you have reached it.
The option: The firm that does your tax also does your books, billed at firm rates, commonly $120 to $250 an hour depending on whose desk it lands on.
When it fits: Low transaction volume, a strong existing partner relationship, and a preference for one professional relationship over everything.
The honest read: Bookkeeping is a volume business and tax firms are not built for volume; the work is usually delegated down, priced up, and delivered on the firm's compliance calendar rather than your operating rhythm. Weekly cashflow visibility and management reporting are rarely part of the deal. The tell: ask when you would see your monthly numbers, and whether "monthly" survives contact with tax season.
The option: An independent bookkeeper at roughly $70 to $120 an hour or $500 to $1,500 a month, per the market ranges in our bookkeeping cost guide.
When it fits: Simpler businesses with modest volume and no need for the reporting and forecasting layers. A good solo operator is excellent value at this stage, and we say so on our own worth-it page.
The honest read: You are buying one person's hours, judgement and availability. Leave, illness and resignation are single points of failure; the layers above bookkeeping (payroll complexity, forecasting, senior review) are outside the brief; and quality variance in this market is the widest of any option here. Verify BAS agent registration on the TPB register before anyone touches a lodgement.
The option: Dedicated offshore finance staff through a staffing provider, typically $2,500 to $4,500 a month per full-time seat all-in, a fraction of the loaded Australian equivalent.
When it fits: You have strong internal finance leadership and need processing capacity, not a function. At that point the economics are compelling and the model is legitimate.
The honest read: Seats are labour, not accountability. Process design, review, and responsibility for lodgements stay with you, BAS work requires TPB-compliant supervision, and offshore data handling carries Privacy Act obligations. The hidden line item is your own management time, which never appears on the invoice. The hybrid version, offshore delivery under Australian professional oversight and agent accountability, is a different product; it is also how we deliver, disclosed openly.
The option: Senior strategic finance by the day, market rates running $2,500 to $15,000 a month per our guide to fractional CFO costs in Australia.
When it fits: Your processing engine already works, the books are current and trusted, and the missing layer is judgement: pricing, funding, banking, exit preparation.
The honest read: A CFO on top of messy or lagging books is expensive guesswork, and the total cost of your function is the CFO's fee plus everything you already pay underneath. If the engine and the driver are both missing, buying only the driver solves the wrong problem first.
The option: Xero plus bank feeds plus increasingly capable AI tools, $50 to $150 a month in subscriptions and your own evenings.
When it fits: Very early stage, tight cash, low volume, and an owner who actually enjoys the work enough to do it weekly rather than quarterly.
The honest read: The software has never been better and the failure mode has never changed: the owner falls behind, the file quietly degrades, and the eventual catch-up costs more than the outsourcing would have. Automation categorises transactions; it does not own a close, verify payroll against an award, or notice that the GST position stopped making sense. If this is your current setup and it is slipping, our messy Xero file rescue plan is the honest next read.
Annualised, the field looks like this. Hiring in-house runs $95,000 to $110,000 for a loaded bookkeeper, past $220,000 for a bookkeeper plus finance manager, before $20,000 to $30,000 in recruitment fees per hire. A firm's bookkeeping add-on at $120 to $250 an hour lands wherever your volume takes it, usually with a surprise in March. A solo bookkeeper costs $6,000 to $18,000 a year for the bottom layer only. Offshore seats run $30,000 to $54,000 per seat plus your own management time. A fractional CFO alone spans $30,000 to $180,000 depending on cadence, stacked on whatever you already pay underneath. DIY software costs under $2,000 a year plus the owner evenings that are the real price. An embedded team covering the complete function runs $18,000 to $72,000 all-in. The comparison only works when every number is attached to the same scope, which is why the layer checklist below matters more than any single figure above.
We are the embedded-team category: the complete function (weekly bookkeeping, AP and AR, payroll, BAS and IAS as registered BAS agents, weekly cashflow tracking, variance analysis, forecasting, financial modelling and senior CA oversight) as one integrated team from $1,500 a month, most clients $2,500 to $6,000, no lock-in, 30-day guarantee, with an embedded HR line available under the same engagement. The category's trade-offs apply to us too: remote delivery, Xero-based, and rarely the cheapest option for bookkeeping alone. The full self-assessment, including the situations where we would tell you to pick an option above instead, is on is Scale Suite worth it, and published numbers are on the pricing page.
Write down which layers you actually need (processing, payroll, compliance, reporting, oversight), price each option against that list rather than against each other's headlines, and apply three universal checks: who holds the BAS or tax agent registration, whether pricing is published, and what the exit terms are. Then pick the category before the provider. Most bad outcomes in this market come from buying the wrong category well, not the right category badly.
What is the cheapest alternative to Scale Suite?
DIY with software, then a solo bookkeeper. Both are the right answer at low volume, and both stop being cheap the moment the layers above bookkeeping start mattering or the file falls behind.
What is the closest like-for-like alternative?
Another embedded finance team. Compare on layer coverage, who performs senior review, agent registration, pricing transparency and exit terms; the category is more consistent than the providers in it.
Is hiring in-house better at some point?
Yes. When volume fills full-time weeks and decisions need someone in the room daily, in-house wins. The mistake is timing: most businesses hire two years early and pay the difference in salary, recruitment and management time.
Are offshore providers a safe alternative?
The model is legitimate with the right structure: Australian professional oversight, TPB-compliant supervision of BAS work, and explicit offshore data handling. Buying raw seats and assuming you bought a function is where it goes wrong.
Can I combine alternatives?
Most businesses do: a processing provider plus a fractional CFO, or software plus a quarterly accountant. Combinations work when someone owns the boundaries between them; they fail when everyone assumes someone else checked.
Why does Scale Suite publish this page?
Because the comparison happens whether we host it or not, and we would rather it happen with real numbers. Some readers will correctly choose an alternative; the ones who choose us do it with eyes open, which makes for better clients and longer relationships.
Can I move back in-house later?
Yes, and a good provider makes it easy: the file stays in your name, the processes are documented, and the handover to your first internal hire is clean. Some clients outgrow the model into a hire; the documented function they hand over is part of what they paid for.
How do I compare quotes that cover different scopes?
Write down the five layers (processing, payroll, compliance, reporting, oversight), mark which each quote includes in writing, then price the gaps at market: a missing senior review layer costs $2,500 a month and up to add separately. Most "cheaper" quotes stop being cheaper the moment the missing layers are priced in.
