Most small businesses need far less than a full-time bookkeeper, but more than the Friday afternoon the owner gives it. The answer depends on four things you can count: bank transactions, bills and invoices, pay runs, and reporting deadlines. This guide shows how to estimate your hours, what part-time hours cost in 2026-27, and when an outsourced finance team is the cheaper way to buy them.

‍

What drives bookkeeping hours?

Bookkeeping time is driven by volume and complexity, not by revenue. A $10 million business with 50 large invoices a month can need fewer hours than a $2 million cafe with 2,000 card transactions.

The main drivers are:

  • Bank transactions: every line on every bank, card and payment account needs to be matched or coded
  • Supplier bills: each bill needs entering, coding, approving and paying
  • Sales invoices: raising, sending and matching receipts, plus chasing late payers
  • Payroll: each pay run, plus super, which now has to be paid every payday under Payday Super
  • Compliance: BAS or IAS, payroll tax where it applies, and year-end work for your accountant
  • Reporting: month-end close and management reports
  • Complexity: multiple entities, foreign currency, inventory, job costing or a messy history

Our guide to what a bookkeeper actually does each month covers each task in detail.

‍

How to estimate your own hours

Count last month's volumes, then put a time against each. Here is an illustrative example for a hypothetical services business with 12 staff paid fortnightly. The minutes per task are planning assumptions for a clean Xero file with bank rules set up, not an industry benchmark, so replace them with your own.

  • 300 bank transactions at 1.5 minutes each: 7.5 hours
  • 60 supplier bills at 3 minutes each: 3 hours
  • 40 sales invoices at 2 minutes each: 1.3 hours
  • Payroll, about 2.2 fortnightly pay runs at 1.5 hours each: 3.3 hours
  • Debtor follow-up: 3 hours
  • Month-end close: 4 hours
  • Quarterly BAS, about 4 hours spread across three months: 1.3 hours
  • Queries, filing and admin: 3 hours

Total: about 26.4 hours a month, or roughly 6 hours a week.

That is less than one day a week. Yet the work cannot all be done in one day, because payroll, super and supplier runs fall on fixed dates. This is why part-time bookkeeping roles often turn into two or three short days spread through the week.

When the hours go up

Add time for any of these:

  • Catch-up work: months of unreconciled transactions can take longer than the monthly work itself
  • Weekly payroll or casual-heavy rosters: more pay runs and more Payday Super payments
  • Multiple entities: each entity has its own bank accounts, BAS and intercompany entries
  • Inventory or job costing: coding to stock items or jobs takes longer than coding to an expense account
  • Ecommerce: Stripe, PayPal and Shopify payouts need clearing accounts and fee reconciliations

Our guide to Payday Super by pay frequency shows how weekly payroll adds to the super workload.

What part-time bookkeeping hours cost in 2026-27

You have three ways to buy the hours.

A part-time employee

An employed bookkeeper doing Level 3 or Level 4 work under the Clerks Award must be paid at least $31.11 or $32.67 an hour respectively from the first full pay period on or after 1 July 2026. Casual Level 3 rates are at least $38.89 an hour, including the 25% casual loading. The full rate table is in our Clerks Award reference for 2026-27.

Market rates for experienced bookkeepers sit well above award minimums. Robert Half's 2026 data puts a Sydney bookkeeper at a median base salary of $92,650, which works out to about $46.89 an hour across a 38-hour week. A two-day-a-week role at that rate is about $37,060 a year, or $41,507 with 12% super, before leave cover, software and management time.

A freelance bookkeeper

Freelancers charge by the hour or by the job, and you pay only for time used. The trade-off is reliability: a sole operator's holidays, illness or full client list become your problem. Our freelance bookkeeper guide covers what to check.

An outsourced finance team

A fixed monthly fee covers the hours, plus the cover, review and systems that a single person cannot provide. Scale Suite packages start from $1,500 per month, and most clients invest $2,500 to $6,000 per month for a complete finance function including payroll, BAS and reporting.

‍

Which option fits?

  • Under 2 days a week of work, simple books: a freelancer or an outsourced package is usually cheaper than an employee
  • Payroll, BAS and reporting all needed: an outsourced team covers more skills than one part-time hire
  • Full-time volume on site: an employee can make sense, with an outside reviewer for BAS and month-end

The hire vs outsource calculator compares the options with your own numbers. To hand the work over, see our outsourced bookkeeping and finance services.

FAQ

How many hours a week does a small business need a bookkeeper?

It depends on volume. A small services business with a few hundred bank transactions and a fortnightly payroll might need around 6 hours a week, spread across several days. Count your own transactions to estimate yours.

Can a bookkeeper work one day a week?

Some can, but fixed dates for payroll, super and supplier payments often mean the work is better split into short blocks across the week.

How much does a part-time bookkeeper cost in 2026-27?

The Clerks Award minimum for Level 3 work is $31.11 an hour from the first full pay period on or after 1 July 2026. Experienced Sydney bookkeepers are paid well above that, with a Robert Half median of $92,650 a year full-time.

How long does a bank reconciliation take?

With bank rules and clean data, matching a transaction can take a minute or two. Unclear transactions, missing receipts and old unreconciled items take much longer.

Does Payday Super increase bookkeeping hours?

Yes, for many businesses. Super now has to reach each employee's fund within 7 business days of every payday, so there are more payments to make and check than under quarterly super.

Is outsourcing cheaper than a part-time bookkeeper?

Often, once you add super, leave, cover and review. Scale Suite packages start from $1,500 per month, and most clients invest $2,500 to $6,000 per month for a complete finance function including payroll, BAS and reporting.
